Registration and Hotel Information


The On-line Registration link to register to the ISTH 2009 Congress and reserve your hotel accommodation in Boston is now open.

Procedure
The registration form should be used for Congress Registration, Hotel Reservations Boxed Lunch vouchers, as well as reservations for Social Program and Excursions. All participants must register using the official registration form either online at www.isth2009.com or by mail, using the registration form included in this announcement.
All participants must submit a completed registration form. The ISTH Congress requires the full data for each individual participant, including updated postal address and email address. Incomplete registration forms cannot be processed.

* For trainees and students, a letter of confirmation from the Head of Department on departmental letterhead must be sent with the registration form. Students older than 38 can request a waiver from this age restriction, by providing a brief explanation and a letter from the Department Chair confirming their student status.

Early registrations will be accepted until February 28, 2009. The reduced fee will only apply when early registration is accompanied by payment.

A number of food court options are available for purchasing lunches at the Congress.  For the convenience of participants, prepared Lunch Boxes will also be available on Monday through Thursday, if purchased in advance.  A total cost of $88 for the four lunches can be arranged when you register.

Membership application forms are available online from www.isth.org and inquiries may be addressed to Sharon Overcash, Membership Secretary, via email at membership@isth.org. Annual dues for membership are $160.00 USD. Dues are for the calendar year, January - December. In order to qualify for Congress registration at the members’ registration rate, you must be a member in good standing by April 15, 2009.

Full payment should be received before the relevant deadline. To facilitate processing, participants should clearly indicate their name, file number and the purpose for which the payment is made on all remittances.

Group Registrations
For group registrations, a minimum of 10 participants is required. Please contact the Registration and Accommodation Department at MCI Suisse SA to obtain the group registration form. Congress documents and bags can be collected as “Early Pick-up“ upon request.

Registrations from Italy
The Congress has chosen AIM International Group to collect on behalf of ISTH all applications from Italian pharmaceutical companies, and file them with the appropriate Italian Health Ministry officials.

Confirmation
A confirmation of registration and payment status will be sent to the individual or company that requests registration. Confirmation will be sent only when the corresponding payment is received. Participants should bring the letter of confirmation to the registration desk at the Congress venue when collecting their documents.

Hotel Accommodation

MCI Suisse SA has reserved a large number of rooms in different hotel categories and offers discounted room rates for the Congress participants. Only reservations made through MCI Suisse SA will benefit from these rates. All these hotels are located in the City Center, or near the Convention Center. As an added benefit for booking your hotel through the Housing Bureau (on-line registration), a free shuttle bus service is provided between your hotel and the BCEC.

The Congress organizers have put an important emphasis in easing transportation time and means between the Congress hotels and the Convention Center:

  • Frequent departures from hotels or defined pick-up points during peak hours in the morning (07:30 AM – 10:30 AM) and regular departures twice per hour during the rest of the day (10:30 AM - 05:00 PM)
  • Regular departures twice per hour from the Convention Center back to the hotels or defined drop-off points throughout the day (08:00 AM – 05:00 PM) and frequent departures at the end of the Congress day (05:00 PM – 08:15 PM).
     
    Participants staying at a Congress hotel will also benefit from a return trip to their hotel after the All Congress Party.

Since Boston attracts many tourists, please reserve your room not later than May 6, 2009. Hotel accommodation is subject to availability. Requests received after this date can not be guaranteed. Reservations are made on a first come, first served basis. Availability of rooms in each category is limited. Names of persons sharing rooms must be indicated.
Rates are in US dollars (USD) and are per room, per night. City Tax : 12,45% included in room rate.

Inexpensive accommodation solutions can be found at Wheelock College. Rooms are still available!

Reservation and Payments
Only guaranteed reservations will be accepted. To guarantee your reservation a deposit covering one night is required to be paid to MCI Suisse SA either by bank transfer or by credit card (deposits will be deducted from the final hotel bill when paid by the participant at the hotel). Please indicate the participant's name and “ISTH 2009” on ALL payments.
From May 27, 2009, only payments made by credit card will be accepted.

Inquiries
Any inquiries or requests for additional information, changes or cancellations of room reservations should be addressed directly to MCI by email or in writing.

Group Reservations
Group reservations will be handled by MCI Suisse SA with separate contracts. Please contact MCI for further information.

Changes of Hotel Booking
All changes to hotel reservations will be performed by MCI. Please do not contact the hotel directly. All changes must be requested in writing. A handling fee of USD 50 per hotel room will be charged for every hotel modification received after June 10, 2009.

Modification of Registration and Social Program
A handling fee of USD 50 per registration will be charged for every registration modification received after June 10, 2009.

Cancellation of Registration
All cancellations must be sent to MCI Suisse SA in writing (fax, letter or email). For cancellations received before May 6, 2009, deposits will be refunded less USD 100.- for administrative costs. For cancellations after May 6, 2009, no refund will be available.
In case of late cancellations (From 7 May 2009) rooms cancelled, cancelled nights or no-show, one night stay will be charged and we reserve the right to charge the full stay if the hotel room cannot be re-sold.

A handling fee of USD 50.- per registration will be charged for every registration modification received after June 10, 2009.

Cancellation of Hotel Reservation
All cancellation must be sent to MCI Suisse S.A in writing (fax, letter or email). For cancellations received before May 6, 2009 deposits will be refunded less USD 100 for administrative costs. For cancellations after May 6, 2009, no refund will be available.

Cancellation of Excursions
Notification of cancellation must be made in writing. Full refund will be granted if written notice is received before May 6, 2009. For cancellations after that date, no refund will be available. Full refund will be made if an activity is cancelled due to lack of participation.

Check-in/Check-out Time
Hotel check-in time is 3:00 PM or later. If you are arriving after 6:00 PM, please notify MCI Suisse SA in advance. Check-out time is noon.

MCI Suisse SA as the Congress planner, ISTH and committee members and officers of the XXII Congress of the ISTH claim no liability for the act of any supplier to this meeting, nor liability for: personal injury, the safety of any attendee while in transit to or from this event, for any loss or damage, for delays in transport by air, sea, rail, road, weather, in case of strikes, sickness, war or other causes.

Please see payment methods on page 18 for more information. Payment by personal checks cannot be accepted.
All payments are in US dollars (USD).
For hotel bookings, a deposit payment for the first night must accompany the hotel accommodation form. Additional expenses such as mini-bar, laundry, etc. must be paid directly to the hotel when checking out.
